Setting up an auto-completed Residential Service

Purpose

To set up a residential service that will be auto-completed so that the service will be available for billing.

How is the auto-generated Residential Service created?

The service is created by batch process and needs to be set up by SMART. If interested have your VPC contact SMART Support.

What information is needed to set up an auto-generated Residential Service?

1. What treatments units will need to set up an auto-generated residential service?

   1. Modality = inpatient

2. Who will be entered as the staff member for the auto-generated residential service?

   1. User must have the privilege of doctor, nurse or counselor to be available for selection as Residential User.

3. What is the Residential Service Type?

   1. A new service should be created that will be used for auto-generated residential service.

   2. Service Type must have a service category of Residential to be available for selection.

What is required for the patient’s episode so that an auto-generated residential service will be created?

The patient needs to be admitted into a Residential Treatment Unit with a Level of Care of Residential

Where are the Treatment Units and Modality set up?

Select Gears on the SMART toolbar

Only administrators will have access to the settings. Administrative password is required

On the Other Tab, Service Type select Add New

Add ID Code and Description

The Service Category MUST BE Residential

Edit Treatment Unit that has the Modality of Residential Services

Add New Service Type to Program Settings

To set up auto-generated residential service, select Modality and checkbox Generate Completed Residential Service Note

Select Residential User - users available have the privilege of doctor, nurse or counselor.

Select Residential Service Type - Services Types Available have the Service Category of Residential

Retiring a user who is selected as the Residential User

It is important that when a user is retired, that the clinic select a new Residential User

Billing the new Auto-Completed Residential Service

New Service will need to be added to the Carrier Billing Settings

On the Edit Carrier Detail, select Modify For Service Detail

Find the new service on the Available Service and select with arrow

Enter

• Procedure Code

• UCR Amount

• Expected Payment Amount

• Units will be Occurrence

IMPORTANT - to avoid residential services from pulling during the prepare billing process, you must remove the Residential Service with the ID Code of ~~RD from the Billable Services
