The ESM ID and ESM Enrollment IDs are critical pieces of data stored in SMART that ensure that the state of Massachusetts identifies each patient record uniquely and accurately. This article explains each of these fields, where to find them in SMART and how they are populated when leveraging our electronic MA DPH Integration feature.
The ESM ID
This is the ID assigned to each patient upon enrollment with MA DPH. This ID does not change; it will stay with the patient record forever. The ESM ID is stored in the State Client ID field in SMART:
The ESM Enrollment ID
This ID is assigned with each new admission of a patient. Unlike the ESM ID, this number will change each time a new episode is initiated with the state for the patient in question. This ID is stored in the episode details behind the Administrative module in SMART. To see this ID, the user must have Admin rights and can review it by click “Edit/Correct Episodes from the Gears module.
How Do the ESM ID and ESM Enrollment IDs get Populated in SMART?
Both of these IDs are populated automatically by the response to the A01 message when admitting a patient. The response SMART processes from MA DPH allows us to populate these to the patient record and subsequently include them in future admission, periodic and discharge messages.
For any records that were created before the electronic interface was turned on, the ESM ID and Enrollment ID were input manually by clinic staff. For this reason, if you are preparing to submit a message for a patient that had been manually enrolled with MA DPH, you should be sure to verify that these numbers match what the MA DPH system has assigned for the patient and their current episode before triggering the first electronic message.
